Key Responsibilities & Job Profile

The selected Office Executive will play a vital role in supporting the administrative and coordination activities across multiple departments including ICMS, SSL, International House (I-House), and SAMat. The responsibilities are broad and involve organizational, clerical, financial, and operational tasks as outlined below.

1. Academic & Statutory Coordination

Maintain effective communication and documentation for academic, statutory, and institutional meetings.

  • Prepare notices, agendas, and minutes for meetings.
  • Follow up on action items and decisions taken during meetings.
  • Maintain records and documentation related to meetings.

2. Administrative & Logistical Support

Assist in organizing academic events and provide administrative assistance to visiting faculty and students.

  • Coordinate logistics for seminars, lectures, conferences, and academic programs.
  • Support the organization of PGDMS and the International Winter School.
  • Manage venue bookings, catering, and material arrangements for events.

3. Recruitment & Documentation

Assist with the administrative aspects of recruitment and maintain accurate records.

  • Prepare and process recruitment-related documentation.
  • Draft reports and submissions related to academic and administrative activities.
  • Maintain comprehensive records of candidates and employment documents.

4. Financial & Procurement Support

Handle financial documentation and vendor management related to procurement processes.

  • Coordinate billing, invoice processing, and payments.
  • Support procurement activities including tender documentation and vendor communication.
  • Maintain financial records and perform follow-up on invoices and claims.

5. Project Documentation & Research Support

Assist in maintaining project-related documentation and research activity records.

  • Organize files and reports for ongoing and completed projects.

6. Guesthouse (I-House) Operations Support

Contribute to smooth operation of the Guest House facility, including:

  • Guest reservations and bookings management.
  • Billing, invoicing, and guest registration documentation.

7. Additional Administrative & Miscellaneous Tasks

  • Provide secretarial assistance for SAMat activities.
  • Support publication and conference submission processes.
